AI voice assistant for utilities

When the supply goes down, nobody wants to sit in a phone queue.

Your crew fixes the fault. Kinetara answers the phone.

Kinetara is an AI voice assistant built for water, waste, heat, gas and electricity providers. Round the clock it takes calls about outages and supply interruptions, meter readings, new connections, billing and job status. Anything urgent is spotted in the first few seconds, captured in full and pushed straight to the on-call engineer.

An outage is an operations event, not a phone queue.

People don’t call their utility to chat. They call because they need an answer: is the outage known, when will it be fixed, where do I submit my meter reading, who is coming out.

In a peak, every call lands at once. Your phone team hears the same question a hundred times while the on-call crew is busy fixing the fault and can’t pick up.

Kinetara takes the first contact: it gives the last confirmed information, never guesses and never promises a deadline it doesn’t know. It collects the key details, flags urgency and hands the case to the right on-call person under your rules. No call ends up in voicemail, and your team never starts a case from zero.

Example of the record your on-call engineer receives
  • [URGENT] Water mains fault
  • Location: [street and town]
  • Description: water leaking from the manhole in front of the building
  • Contact: [caller name and phone]
  • Time: 22:31
  • Escalation: SMS + email → on-call engineer

Six everyday situations in water, waste, heat and energy supply

Kinetara talks like a person, with no “press 1 for” menu, and works only from the data and rules your operations and billing teams sign off. Every situation below comes from live deployments with an energy supplier and municipal utilities across water supply, wastewater, waste collection, district heating, gas and electricity.

1 · Meter readings without the queue at the counter

During the reading window customers ring in and submit their own water, gas or heat meter reading. Kinetara walks them through the supply point and meter serial, reads the figure back digit by digit including leading zeros, and checks identity quietly in the background – the expected value from billing is never spoken aloud. Fewer estimated bills, fewer disputes down the line.

2 · Out-of-hours cover at night, at weekends and on bank holidays

A burst service pipe at 22:31, a smell of gas in a block of flats, heating gone off. The call is answered straight away, even when one engineer is the entire on-call rota: name, contact, address or supply point, description, and whether anyone has reported it already.

3 · Emergencies kept apart from routine enquiries

Every call lands in one of three buckets: emergency (network fault, burst main, suspected gas, no water or heat), routine (meter reading, billing dispute, collection day, new connection) or unclear. When it is unclear, Kinetara keeps asking the questions your operations team wrote.

4 · A job report an engineer can work from on site

Urgent reports reach the on-call engineer within seconds by text and email, always in the same shape: location or supply point, fault description, caller contact, urgency and time reported. Fewer callbacks for clarification and a faster dispatch.

5 · The emergency number freed up for real emergencies

Collection days, questions about a bill, change of occupier, payment arrangements, delivery orders – Kinetara logs them and sends them to the back office for working hours. The emergency line stays clear and advisors stop being interrupted every five minutes.

6 · Planned works and major incidents

For a big fault or planned interruption, the on-call person dictates the notice once: area, cause, expected restoration. Kinetara then gives every caller from that area the same line, even when many people are calling at once – the wave of repeat calls dies down.

From live deployments

What it looks like in practice.

The scenarios below run in production with an energy supplier and at municipal utility companies. The specific numbers behind each deployment are covered by confidentiality agreements with our clients – we share them in a live demo, not on a public page. We treat your data with the same care.

Meter readings without the front desk

The agent walks the caller through digit by digit, quietly verifies their identity and reads everything back for confirmation. The reading arrives structured and ready for billing – no queue, no manual re-typing.

Energy supplier · Meter reading intake

An urgent fault at 22:31

The on-call engineer gets an SMS and an email with a structured record: location, fault type and severity, contact, time. Enough to head out, with fewer callbacks for clarification.

Municipal utility · After-hours calls

Every call leaves a record

Each conversation ends with a summary, an urgency label and a recording. The weekly review shows which calls the agent closed on its own and which it handed to your team.

Rollout

Start with one area or one call type.

We do not rip out the way you work overnight. First we choose a clear scenario, define the hand-off rules and measure what happens in practice during the first week.

1. Scenarios

Choose outages, readings, bills or fault reports with the most repetition.

2. Rules

Define data sources, urgency levels, on-call contacts and the moment for a transfer.

3. Pilot

Kinetara takes selected calls while your team receives summaries, recordings and open cases.

4. Expand

After reviewing calls, add new request types and connect the next system or area.

What we get asked most

Three questions any solution like this has to answer

What if the call really is an emergency?

Your escalation rules apply. The moment a human is needed, Kinetara takes the essentials and either transfers the call or opens a flagged job for the on-call team.

Call and try the emergency scenario →

What if the information is out of date?

The assistant does not guess. It gives the last confirmed update, says plainly what is not yet known and passes the case to the team that can check.

Ask it something it must not guess →

Will customers put up with a robot?

Kinetara introduces itself as a digital assistant from the first second. Callers get an answer without waiting, and when they ask for a person or the subject is sensitive, the call goes to your team.

What every project shares

The gains that show up in every rollout

Cover around the clock: calls are answered outside office hours and through the peaks when every line is engaged. No report goes unanswered.

A clean record instead of a raw transcript: each call ends with the fields filled in – supply point, location, fault type and severity, contact and time. Figures are read back digit by digit, leading zeros intact.

Triage and escalation to the right person on the right channel, three languages (Slovenian, Croatian, English) and hard limits on data: nothing internal is ever read out. On-call and support teams only handle what is genuinely urgent.

Prices exclude VAT. Only successfully handled calls are billed; test, dropped and technically failed calls do not count.

Monthly billing has no lock-in. First validate the scenario, data and rules, then expand where it creates value.

For exceptional events, such as a major fault with a spike in calls, we agree volume and billing up front – no surprises on the invoice.
